Resources for Guardians

For this project, I created web-based, informational and task-related resources for parents and guardians of students enrolled in an online K – 12 school.

THE PROBLEM

Guardians often lack knowledge of what is required for their children to be successful in an online learning environment. They might have inaccurate understandings and/ or expectations of what it is like to have a child enrolled in an online school.

 

Guardians require knowledge of school requirements in order to support their child’s learning. They are required to assist with tasks such as logging on to the online learning platform and facilitating remotely proctored exams.

 

Guardians often require assistance from school staff and teachers to support their child’s learning and complete related tasks. The pandemic significantly increased the school's enrollment which led the school staff to seek solutions to the problem. 

THE SOLUTION

To solve this problem, I created online resources for guardians including video, slide presentation and text-based materials. I organized the resources so they could be used as an initial orientation to the school and the online learning experience and as a reference for quickly finding information. I organized the resources to be engaging, practical, and easy to digest. I presented information in multiple formats and in multiple locations to ensure that guardians understood the most important information. The final product was easy to navigate, visually appealing, and designed for maximum retention of information. 

PROCESS

I love this type of project. It was basically cleaning up a huge mess. I first met with stakeholders to discuss the needs. I interviewed teachers and guardians. I completed a full analysis of what guardians needed help their children be successful in this school and in the online learning environment. I examined the school's website and methods for providing guardian support and suggested a new strategy based around the project deliverables. I found, collected, and organized a large amount of information from existing resources that were dispersed across the school's site and buried in guardian correspondence. I organized, categorized, prioritized information, and identified the gaps. I met with stakeholders a second time to discuss the gaps in information and created a project charter. Once, the project plans were approved, I wrote the text resources, created graphics, and created a video and slide presentation to feature the most important information. The deliverables were then reviewed, evaluated, and revised.

Deliverables

DELIVERABLES

The deliverables include text, graphic and video resources. The resources will be held on the school's website under a resources for guardians tab on the main menu. The goal is for guardians to quickly get through the materials while retaining the most important information and for them to be able to reference the information as needed. Based on evaluations, guardians were able to get through the resources in about 30 minutes and were able to recall important information. They were also able to describe where to find key information within the resources.

Text-Based Resources

Text

The resources for guardians page menu includes a Quick Start Guide and 4 topics for a total of  5 tabs. The page is organized to guide learners through the resources quickly and easily. 

 

Text is written and formatted to allow the learner to quickly find and understand the information. This is accomplished with formatting that guides the learner's eye through the text while highlighting important information. At a glance the text looks easy to read and digest. It is also optimized for scanning to find desired information.

Hyperlinks are used for key words and phrases so that learners can jump to different sections of information. This makes it easy for learners to quickly find and understand the information they need.

The text resources are highly accessible and easy to navigate using a screen reader.

Video

I created a 5 minute video to summarize the most important information. This is the same information in the Quick Start Guide in the text-based resources. It includes screen capture recordings, narration, and graphics to show guardians how to perform essential tasks and where to find more information.

Slide Presentation

Slide

In addition to a video, I created a slide presentation to introduce guardians to the most important information. It includes the same information as the video and the Quick Start Guide in the text-based resources. However, the slide presentation includes hyperlinks to more information and is self-paced
